SRUSD Request for New Technology Applications, Programs and Hardware

Completion of the SRUSD Tech Resource Request is required for any program/application or other technology that is used within the district.

The form is necessary to ensure compatibility with district standards, federal and state user privacy laws and guidelines,  and existing equipment and learning management systems.

    In an increasingly digital learning environment, protecting SRUSD students’ personal information is our highest priority. Our district strictly adheres to California state and federal data privacy laws to ensure a safe, secure, and transparent digital experience for every student.

    Our Legal Framework

    We operate in full compliance with key privacy mandates designed to protect minors online:

    • FERPA (Federal): Protects the privacy of student education records.
    • COPPA (Federal): Limits the collection of personal information from children under 13.
    • SOPIPA (California): Prohibits educational technology providers from using student data for targeted advertising or profiling.
    • AB 1584 & SB 1177 (California): Sets rigorous standards for how third-party vendors handle student records and digital identities.

    How We Protect Your Child

    Before any software, website, or application enters the classroom, it undergoes a multi-step security audit. 

    • Rigorous Vetting Process: Every digital tool is reviewed by our Technology Department to ensure it meets technical security standards and educational value.
    • Student Data Privacy Agreements (SDPAs): We require vendors to sign legally binding agreements. These SDPAs ensure that the vendor never owns the student data, cannot sell it, and deletes it when it is no longer needed.
    • Minimal Data Collection: We follow the "Principle of Least Privilege," ensuring that digital tools only receive the absolute minimum information necessary for the student to use the service.

    Transparency and Control

    Our district maintains a Digital Resources Directory through CITE Privacy Services where families and staff can view the specific applications currently approved for district use.

  • 1. What exactly is "Personally Identifiable Information" (PII)?

    PII is any information that can be used to distinguish or trace an individual‘s identity. In a school setting, this includes a student's name, address, ID number, date of birth, and even more specific data like attendance records, grades, or disability status. Our district ensures that PII is only shared with vetted partners for legitimate educational purposes.

    2. Can the district sell my child’s data to third parties?

    No. Under California’s SOPIPA law and our district’s strict Data Privacy Agreements, no vendor is permitted to sell student data, use it for targeted advertising, or build marketing profiles of our students.

    3. How does the district decide which apps are safe to use?

    Every digital tool goes through a rigorous vetting process. Our technology team evaluates the app’s privacy policy and terms of service to ensure they comply with federal and state laws.

    4. What happens to my child's data when they graduate or leave the district?

    Our contracts with digital vendors require them to securely delete student data once it is no longer needed for the specified educational purpose or when a student leaves the district. We maintain official transcripts as required by law, but third-party account data is purged according to our data retention schedule.

    5. Where can I see a list of the apps my child is using?

    Transparency is key. We maintain a Digital Resources Directory that lists every approved application.

Tech Dperatment Projects and Supports

District Network & Wireless Service

The Santa Rita Union School District's Internet network was originally designed and implemented in 2000. Since that time, there have been numerous changes and upgrades made, as a result of E-rate funding or bonds, providing sites with the latest networking technology. Broadband access is the District standard, and our bandwidth at all schools: 4 elementary schools, 2 middle schools, MOT building and district offices is 5 Gigabyte, and currently supports a myriad of 5,000 devices via 220 WiFi Access Points, including computers, laptops, Chromebooks, tables and display devices. In February 2024 we upgraded our network across the district and installed new access points to inrease and improve connectivity.  We are planning for future dramatic growth in both web-based and digital content. We are also transitioning to a cloud based data center to assist with storage and security.   The needs of the curriculum and instruction drives our network upgrades.  It is essential our learning resources are available anywhere and anytime.

 

Aeries SIS

Student Information System  

The Santa Rita Union School District will uses Aeries Student Information System (SIS)  It provides our teachers, administrators, parents, and students controlled access to student information via a Web browser interface and mobile app access

1 to 1 Device Initiative district-wide

We are successfully implimenting a 1 to 1 device initiative using Google Education on Chromebooks from TK through 8th grade.  Our 3rd-8th grade students are issued a Chromebook during the school year.  At the TK-2nd grade level,s we utilize Chromebook carts in every classroom for student use.  Currently touchscreen Chromebooks are used (K-2) and non-touch (3-8) while we are transitioning to Dell 2-in1 Chromebooks that have touch/tablet cabilities for all students,

District-wide Educational Technology Integration

Working in conjunction with the Director of Curriculum, the district's Educational and Information Technology Department assists in providing leadership in the planning, development, implementation, and administration of technological programs to support instructional services across the district including education computing systems, technical support services, software/hardware acquisition, and system design/installation. Additionally, we provide support for planning, assessment, and data collection of innovative projects and staff professional development.

Computer Repair & Network Support

The Santa Rita Union School District's Technology Department provides computer system supports and repairs both on site as well as in the district office.  Through the online Mojo Help Desk, all district staff members can submit requests for service. Additionally, district staff and srudents can drop off devices with their library media techs for repair (in most cases).

Online Security & Digital Citizenship

The Santa Rita Union School District's Educational and Information Technology Department takes electronic security very seriously.  As a public education agency, the district operates in context of complex regulations including the Children's Internet Protection Act (CIPA), the Family Educational Rights and Privacy Act (FERPA), the Children's Online Privacy Protection Act (COPPA), the Student Online Personal Information Protection Act (SOPIPA).and many other federal, state, and local laws.   In conjunction with our vendor partners, Google, Managed Methods and Linewize, we defend information from unauthorized access, use, disclosure, disruption, modification, perusal, inspection, recording, or destruction.
